1. Permissions Overview
Learner Profile lets you give different users different access privileges to the Learner Profile database. This ensures, for example, that a guidance counselor can check a particular student’s attendance record--but not change it.

All users can perform the following actions:
  • Create and edit groups
  • Create and edit their own Observables, Qualifiers, and Observable Sets
  • Record Observations
  • Create and edit their own gradebooks and attendance trackers
  • Create and edit their own lesson plans
  • View reports based on observations they have recorded or assignments they have graded

Other permissions can be added to or removed from specific user types. The following table describes these actions:



PUBLIC OBSERVABLE SETS: Observable sets that reside in this folder may be seen and used by all users who have permission to View Public Observable Sets. Often
times, this folder is used to contain school-wide objectives, such as state and national standards.
  • SET UP: Enables the user to create and modify observables and observable sets in the Public Observable Sets folder.
  • DELETE: Enables the user to delete observables and observable sets residing in the Public Observable Sets folder.
  • VIEW: Enables the user to view observable sets residing in the Public Observable Sets folder. The View permission lets the user record observations using these observable sets, and copy observables from this folder, but it does not enable the user to modify or delete these observable sets.

PUBLIC QUALIFIER SETS: Qualifier sets that reside in this folder may be seen and used by all users who have permission to View Public Qualifier Sets. This folder may contain qualifier sets developed for school-wide use to ensure that all Learner Profile users reference the same set of learning indicators when recording observations.

  • SET UP: Enables the user to create create and modify qualifiers and qualifier sets in the Public Observable Sets folder.
  • DELETE: Enables the user to delete qualifiers and qualifier sets residing in the Public Qualifier Sets folder.
  • VIEW: Enables the user to view--but not edit or delet--observable sets residing in the Public Qualifier Sets folder.

STUDENTS: This permission is used to control which users have the ability to create, modify, and delete students from the database.

  • SET UP: Enables the user to create and modify students and/or student information to the database.
  • DELETE: Enables the user to delete or edit students and/or student information.
  • VIEW: Enables the user to view students and groups. Without this permission, users will not be able to access the Students mode in the Groups tab.

2. User Types

With Learner Profile, you can assign each user to one of three different user types. Each user type has certain inherent permissions which cannot be changed. These are described below:
  • ADMINISTRATOR: The administrator (admin) is responsible for setting up other users, backing up the database, and creating or importing the observable sets that will be used by other users (e.g., state standards). The admin may also be primarily responsible for adding, editing, and removing students from the database. Usually there is only a need for one user with Administrator permissions. Inherently, an Administrator can create observable sets and qualifier sets in their personal folder, record observations and view their own reports, create and use gradebooks and attendance trackers, and view and modify any other user's observable or qualifier sets.
  • TEACHER: The Teacher is the "typical" Learner Profile user. A Teacher user type can create observable sets and qualifier sets in their personal folder. They can record observations and view their own reports. They can create and use gradebooks and attendance trackers.
  • OTHER FACULTY: The Other Faculty user type is intended for Learner Profile users who are unlikely to be recording observations or grading assignments, but may be interested in viewing reports. This user type has all of the permissions of a Teacher (described above) and is also able to generate reports based on other user's data.

3. Changing Permissions
If you want to modify the permissions for a particular user type, follow these steps:
  1. Choose PERMISSIONS… from the "Admin" menu.
  2. In the Permissions window that appears, a table will display the current permissions settings for the three user types. Click EDIT… to edit these settings.
  3. Select the user type you want to modify from the drop-down menu on the new window that appears. The permissions for that user type are shown—an "X" in the checkbox indicates that the user has that permission.
  4. Modify permissions by checking or unchecking the boxes.
  5. You may select another user type and modify permissions in the same manner. When you have finished, click the DONE button to save your changes or CANCEL to return to the Permissions window without your changes saved.

NOTE: Setup, Delete, and View permissions for public observable sets, public qualifier sets, and students can be changed for all user types. The following characteristics are inherent to the user type and cannot be changed:

  • Other Faculty: Ability to generate comprehensive reports based on all users' data.
  • Administrator: Ability to generate comprehensive reports based on all users' data; ability to modify any user's personal observable/qualifier sets; access to the "Admin" menu.
